How do you keep control of an AI agent?

Helpful AI still needs clear rules.

“AI governance” means agreeing on what the assistant may do, who checks it and what happens if something goes wrong. You do not need a technical background to ask for those rules in writing.

Agree on these points before launch.

  1. The job: Name the task, the information it uses and the result it should prepare.
  2. Access: Give it only the business tools and information it needs. Explain which connections are read-only and which can make changes.
  3. Approval: Decide which messages, prices, promises and record changes need a person to approve them.
  4. Problems: Decide what it should do when information is missing, two sources disagree or a tool is unavailable.
  5. Responsibility: Name the person who checks the work and knows how to pause the assistant.
  6. Cost: Agree on ongoing charges, spending limits and support.

Example: a follow-up to an unanswered quote.

The assistant finds a quote waiting for a reply and prepares a draft message. A salesperson checks the customer details, price and tone before sending it. The assistant does not offer a discount or promise a delivery date on its own.

Fill in each field before a pilot. Start with limited access and review results with your team.

Try the awkward situations too.

Test a request with missing details, an outdated price and a customer asking for something outside your usual service. Confirm that the assistant asks for help instead of guessing. Keep a record of what it does well and where staff still need to check carefully.
