Count the time you can actually get back.

Return on investment, or ROI, compares a benefit with its cost. For an early automation project, a useful starting point is how much staff time it could free up. Time saved is not automatically extra revenue or a reduction in payroll.

Use measured task times, realistic adoption and actual costs. A negative result means the proposed setup consumes more time or value than it returns under these assumptions.

An illustrative quote-preparation example.

Suppose your team prepares 100 quotes a month. Each takes 20 minutes. An assistant might reduce preparation to 5 minutes, but a person still needs 5 minutes to check it. That would free up 10 minutes per quote, or about 16.7 hours a month.

100 quotes × 10 minutes saved ÷ 60 = about 16.7 hours per month

At an assumed staff cost of $40 per hour, that capacity would be worth about $667 a month. Subtract an assumed $150 in monthly software and AI charges: about $517 remains before the setup cost and other expenses. These are made-up planning figures, not Kyros pricing or a client result.

Include the costs people often forget.

  • The initial setup and any changes to your existing tools.
  • Software subscriptions, AI usage and support.
  • Staff training and the time spent checking work.
  • Requests that still need to be completed manually.

Check what happens after launch.

If staff use the assistant for only half the quotes, the estimated time benefit falls by half while some running costs stay the same. Measure actual use, time and errors. A promising estimate should become a real review, not a permanent claim.
